Cancellation and Refund Policy

CANCELLATION, REFUND & SHIPPING POLICY

This policy outlines the protocols for cancellations, refunds, and delivery of services provided by Thought Bistro LLP. By engaging our services, you agree to the terms below.

1. CANCELLATION & REFUNDS

1.1. Pre-Initiation (Full Refund) Clients are entitled to a 100% refund if a cancellation request is submitted in writing within 24 hours of payment, provided no work (including onboarding or scripting) has commenced.

1.2. Post-Initiation (Kill Fee) Once the project has started (defined as the commencement of the "Scripting Phase"), no refunds will be issued for the initial deposit/payment. If a project is cancelled midway by the Client, Thought Bistro reserves the right to charge a Kill Fee equivalent to the billable hours worked or 50% of the remaining project value, whichever is higher.

1.3. Non-Refundable Items Services involving live marketing campaigns, third-party media spend (ads), or customized content where the creative direction was previously approved are strictly non-refundable.

1.4. Procedure To request a cancellation, you must email info@thethoughtbistro.com strictly from the registered email address on file.

2. TERMINATION & SERVICE CONTINUITY

2.1. Immediate Termination Thought Bistro reserves the right to terminate agreements immediately without refund if the Client: (a) Is abusive or threatening to staff; (b) Requests unethical or illegal work; (c) Fails to settle invoices within 3 days of the due date.

2.2. Right to Discontinue Service We reserve the right to discontinue any ongoing project or service at any time, at our sole discretion. Reasons for discontinuation may include, but are not limited to: changes in agency capacity, strategic pivots, or if the Client’s demands exceed the original scope of agreement ("Scope Creep"). In such events, billing will be pro-rated for work completed up to the date of notice.

2.3. Ongoing Commitments & Renewals All ongoing services (such as "Inner Circle" subscriptions or retainers) are billed as separate, distinct cycles. The completion of one billing cycle does not hold Thought Bistro indefinitely to providing the service in the future.

2.4. No Obligation Without Billing We are under no obligation to fulfill services for future periods that have not yet been invoiced or paid. If a recurring invoice has not been generated or settled for an upcoming cycle, the service agreement is considered paused or terminated, and Thought Bistro is not liable for any service interruption.

2.5. Communication Failure (Ghosting) If a Client fails to respond to communication or provide necessary assets for a period of 14 consecutive days, the project will be marked as "Dormant." Reactivating a dormant project may incur a re-onboarding fee. If dormancy continues beyond 30 days, the project is considered cancelled by the Client with no refund.

3. DIGITAL DELIVERY

As a digital agency, Thought Bistro LLP does not ship physical products to the Client. All deliverables are electronic.

3.1. Delivery Method Final assets (Videos, Scripts, Campaigns) will be delivered via Email, WhatsApp, or a shared Cloud Drive link.

3.2. Auto-Acceptance All delivered assets are deemed accepted and approved if no specific feedback or revision request is received within 3 business days of delivery.

3.3. Timelines Specific delivery timelines for Ad Creation, Campaign Management, and Content are estimated upon project commencement. While we strive to meet all deadlines, delays caused by lack of Client feedback do not constitute grounds for a refund.

4. PHYSICAL SHIPPING (PRODUCT SAMPLES)

This section applies to Clients shipping physical products to Thought Bistro for content creation.

4.1. Inbound Shipping Cost The Client is solely responsible for all costs associated with shipping products to our studio (Kolkata, India), including customs duties if applicable.

4.2. Return of Products We do not automatically return products. If you require your products back, you must: (a) Notify us before shipping the items. (b) Arrange for a reverse pickup at your own cost within 48 hours of project completion.

4.3. Disposal If no reverse pickup is arranged within the 48-hour window, or if the goods are perishable, items will be deemed abandoned and disposed of or donated at our discretion.
